OKR workflow
OKRs move down the org by pulling and pushing. Acknowledging and approving is a separate step that locks in a set. Progress then flows back up from key results.
The OKR structure
- Objectives can have sub-objectives.
- Key results measure an objective. They never have objectives under them; a key result can only add up to a super key result (usually your manager’s).
- Each key result has initiatives (the work that moves it) and progress updates (a number plus optional evidence files).
Objectives, key results, initiatives and progress updates can all be edited or deleted.
1. Pull from your manager
Open your node → From manager → Pull & align with AI. AI drafts OKRs that support your manager’s, with key results that add up to theirs. You can also pull a single objective as is. Pulled OKRs are saved as drafts.
2. Draft and edit
In My OKRs, choose Add OKR. Write the objective; AI drafts key results you can edit. Expand a key result to add initiatives, or let AI draft those too.
3. Push to your reports
Open your node → Reports → Push to reports. AI splits your OKRs by each report’s role and function. Each report finds their share under From manager and pulls it into their own OKRs, with AI or one objective as is.
4. Acknowledge and approve
Any change to someone’s OKRs needs them to acknowledge the set. That includes pulling from their manager, adding, editing or deleting an objective or key result, pulling a pushed objective as is, and a CSV import. Drafts become active when they acknowledge.
Their manager then sees the set as pending approval in the Reports tab (or on the person’s node) and approves it. Objectives added or changed since the last approval are marked new or changed.
Progress updates and initiatives are tracking, so they don’t reopen an approval.
5. Track progress
Expand a key result to log progress: enter the current value, add a note and attach evidence files. With tools connected in Context, Suggest from context estimates the current value from ticket and project status or incidents and pre-fills the form for you to check.
Draft from context
With tools connected in Context, open your node → My OKRs → From context (or Reports → From context).
- AI reads your sources and drafts your OKRs and, when the sources show your team, your team’s OKRs.
- If the sources already contain written OKRs, they’re shown as written. AI improves them only when you click Improve with AI.
- People in your sources who aren’t in OKR.ai yet are added only if you tick them.
- Your OKRs are saved as drafts to acknowledge; your team’s are proposed to them like a push.
Who sees what
Full OKRs, progress, initiatives and evidence are visible only to you, your direct manager and your direct reports. Further up or down, people see objectives and key results only, never progress. This is enforced on the server.
